Continuing Education Attendance Policy

Policy

Quality Care Health Foundation (QCHF), as the CE Provider, requires all individuals participating in California Association of Health Facilities (CAHF)/QCHF continuing education activities to personally complete all required attendance verification procedures. Attendance records must accurately reflect each individual’s actual participation.

CE credit will be awarded only to individuals who are present and participate in an educational activity. All attendees are responsible for accurately documenting their own attendance and participation.

Individual Sign-In and Sign-Out
  • Each attendee must personally sign in and sign out for themselves at every CE activity.
  • An individual may not sign in or sign out on behalf of another person, regardless of the circumstances.
  • Attendees must use their own name and the required identifying information when completing attendance records.
  • Signing in for another individual, signing out for another individual, or asking another person to complete attendance records on their behalf is considered fraudulent and is strictly prohibited.
  • Attendance records must accurately document the individual’s actual time of participation.
Badge Scanning and Identification

When a badge-scanning system is used to verify attendance:

  • Each attendee must wear and use only their own assigned identification badge.
  • Attendees may not wear, carry, scan, or otherwise use multiple identification badges.
  • Attendees may not use another individual’s identification badge to record attendance.
  • An individual may not scan identification badges for other attendees who are not physically present.
  • Attendees are responsible for ensuring that their badge is clearly identifiable as their own and is worn throughout the educational activity when required.
  • If an identification badge is lost, damaged, or not functioning properly, the attendee must immediately notify the registration or CE staff for assistance rather than using another individual’s badge.
Accuracy and Integrity of CE Records

Attendance verification procedures are in place to ensure that CE credit is awarded only to individuals who were physically present and participated for the required duration of the educational activity.

Falsifying, manipulating, or circumventing attendance records—including signing in or out for another person or using another person’s identification badge—may result in:

  • Denial or adjustment of CE credit;
  • Removal of attendance records that cannot be verified;
  • Removal of all individuals involved in the violation from the educational activity for the duration of the event;
  • Notification to the individual’s employer, when appropriate; and/or
  • Other actions deemed appropriate by QCHF or required by the applicable accrediting or regulatory body.
QCHF Responsibilities as the CE Provider

QCHF will maintain procedures designed to reasonably verify participant attendance and participation. Staff responsible for registration and CE administration should monitor sign-in/sign-out and badge-scanning processes and address discrepancies or suspected attendance violations promptly.

QCHF may investigate attendance discrepancies and may withhold or adjust CE credit when attendance or participation cannot be reasonably verified.

Purpose

These requirements protect the integrity of QCHF’s CE programs, ensure accurate attendance documentation, and help ensure that CE credit is awarded only to individuals who genuinely attended and participated in the educational activity.
